Accessing OneDrive for Business

To access OneDrive for Business from the browser, navigate to https://caltech.onedrive.com

  • Onthe Microsoft log in page,enter your access.caltech username in the form username@caltech.edu (e.g. jsmith@caltech.edu) and click Next
  • You will be redirected to the Caltech Office 365 login page
  • Enter your access.caltech username and password

To access OneDrive for Business clients, use the following credentials:

  • your access.caltech username in the form username@caltech.edu (e.g. jsmith@caltech.edu)
  • access.caltech password

    • If you are a current campus Exchange user and have a Windows Phone connected to your Exchange email on campus you will need to do the following:
      • On your Windows Phone tapSettings
      • Tapemail + account
      • Tap and hold your Office 365 user ID, tap delete
      • Swipe to apps and tap Office
      • Onplaces,tapOffice 365.Follow the steps to set up your account. This re-adds your email account to your phone and adds a link to your OneDrive for Business documents in the Office Mobile app.
    • If you are not a current campus Exchange user but now have an Office 365 account, do the following:
      • Swipe to apps and tap Office
      • On places, tap Office 365. Follow the steps to set up your account. This re-adds your email account to your phone and adds a link to your OneDrive for Business documents in the Office Mobile app.
  • Android - not supported

  • Open a browser and log in to OneDrive for Business as describe above
  • Go to Site Settings > Site Collection Administration > Storage Metics
  • You will see the amount of storage use as well as a break down of how the storage is being used
How many items can I sync?
  • up to 20,000 items in your OneDrive for Business library, including folders and files
  • up to 5,000 items in other SharePoint libraries, including folders and files. These are the libraries you find in various SharePoint sites, such as team sites and community sites.
What is the size limit for downloading files?
  • In any SharePoint library you can download files of up to 2GB
What's the character limit for files and folders?
  • These limits apply to files and folder that you add to a synced library folder for uploading to SharePoint. In normal practice, you're unlikely to hit these limits:
  • file names can have up to 128 characters
  • folder names can have up to 256 characters
  • folder name/file name combinations can have up to 260 characters
  • If you have a file, folder, or combination that exceeds the limit, the item will remain in the synced library folder, and an error icon will appear on the item to tell you that there's a sync problem.
Invalid characters
  • You can upload files with names that contain any of the following characters: \ / : * ? " < > | # { } % ~ &
Invalid file types
  • You cannot upload OneNote files, or files with a *.tmp or *.ds_store extension. Additionally, you cannot upload desktop.ini, thumbs.db, or ehthumbs.db
  • Additionally, you cannot upload types of files that are blocked on the SharePoint site. To see a list of the default blocked files, see types of files that cannot be added to a list or library.
